TrapScan collects the information needed to record and sync trap checks, manage accounts and keep the service running. Trap checks sync to Trap.nz. Your data is never sold or shared with advertisers.
Who I am
I'm Kurtis Papple, a sole trader based in New Zealand and the operator of TrapScan. I build software to make recording community trap checks quick and easy.
What TrapScan collects
When you record without an account
TrapScan collects:
- A randomly generated ID, stored in your browser to count contributors who aren't logged in. It isn't a browser fingerprint and isn't linked to your identity.
- Trap check data you record, such as species and bait status.
- Your approximate location, if you give permission. TrapScan uses it to show nearby traps on the Scan page. It isn't saved with your trap check.
You can record without providing a name, email address or other account information.
When you create an account
TrapScan also collects:
- Your email address to log you in and send important updates.
- Your name, if you provide it. This is shown on your recorded trap checks.
- Your password, which is hashed rather than stored as plain text.
- The location of each trap you create. This is the position you choose on the map or, if you give permission, your phone's position when you create the trap. It can be precise enough to reveal the location of a backyard trap near your home.
The person who creates a trap chooses whether it is private or public. Within TrapScan, a private trap's location is visible only to its creator, the project's managers and TrapScan administrators. Anyone can see a public trap's location.
The private setting applies only within TrapScan. Trap locations are also synced to Trap.nz, where access depends on project membership, roles and trap assignments. Members with permission to view a trap can see its exact location, including when it is marked private in TrapScan. Bear this in mind when recording a trap near your home or another sensitive location.
People under 16
If you're under 16, you need a parent or guardian's consent to create an account. You can also record without an account, without providing a name, email address or other account information.
Error reports
TrapScan uses Sentry to receive error reports when something breaks, so I can diagnose and fix problems.
For logged-in users, the report includes an account ID but no name or email address. The ID is a code that doesn't itself reveal who you are. Guests aren't identified in error reports.
How TrapScan uses your data
TrapScan uses your data to:
- record and display trap checks;
- sync trap checks to Trap.nz;
- show project managers activity on their project's dashboards;
- diagnose and fix errors.
Your data is never sold or shared with advertisers.
Where your data is stored
- Vercel and Neon provide TrapScan's primary hosting and database services in Sydney, Australia.
- Sentry processes error reports in the United States.
- Resend sends transactional emails.
- Neon performs regular automated database backups.
TrapScan keeps its own copies of project, trap and catch records, largely in sync with Trap.nz. Trap.nz is the authoritative source and long-term archive for this conservation data. TrapScan also holds operational information used to run the service, such as card and account data, which isn't part of the conservation data sent to Trap.nz.
Trap check data is retained indefinitely as part of the conservation record. When you delete your account, you can choose whether your name remains attached to your checks in TrapScan, as described under Your rights.
Who your data is shared with
Your data is shared with:
- Trap.nz, which receives conservation data about projects, traps and trap checks. Its records are governed by Trap.nz's privacy policy and other applicable terms. Members with permission to view a trap in Trap.nz can see its exact location, even when it is private in TrapScan.
- Project managers, who can see checks recorded against traps in their projects.
- Service providers: Vercel for hosting, Neon for the database, Sentry for error monitoring, Resend for transactional emails and CARTO for map tiles. Each provider operates under its own privacy terms.
TrapScan doesn't share your data with advertisers, data brokers or anyone else beyond the recipients described above. Project contact information in TrapScan is shown to logged-in users; visitors who aren't logged in are prompted to log in to see it.
Your rights
You can access your data by emailing support, or correct it by updating your profile or emailing support.
You can also delete your account. Open Account in the app and select Delete account. If you own a project, you'll first need to transfer ownership; email support to arrange this.
Deleting your account removes your email address, password and login details, so the account can no longer be used to log in. Your recorded checks remain part of the conservation record. During deletion, you choose what happens to the name attached to them:
- Remove your name. All your checks display the same generic label, such as "user 42", without a name or email address.
- Keep your name. Your name stays attached to your checks.
Checks already sent to Trap.nz keep the name that was sent with them; TrapScan doesn't change those names when you delete your account. They are subject to Trap.nz's privacy policy. Checks that haven't yet been sent to Trap.nz are sent with your name or the generic label, according to your choice when you delete the account.
Cookies and tracking
TrapScan uses a session cookie to keep you logged in. It has no ads or advertising cookies, and doesn't use behavioural analytics services such as Google Analytics, Facebook Pixel, Mixpanel or PostHog.
Sentry receives error-reporting data from your browser when an error is reported, as described above. When a map is displayed, your browser also requests map tiles from CARTO, sending information including your IP address as part of that request.
Changes to this policy
I'll email registered users about significant changes. The current policy is always available on this page.
